Plumber Callback Script: How to Return a Missed Call and Win the Job
A missed call isn't a lost job yet. What you do in the next few minutes decides that. Callers with a leak or a backed-up drain often call the next plumber on the list if no one gets back to them, so a fast, clear callback matters.
This guide gives you a plumber callback script for returning missed calls, plus a simple routine so callbacks happen the same way every time.
Before you dial: have three things in front of you
- The caller's name and number.
- The service address, or at least the town.
- What's going on, in their words.
If you only have a number from your call log, you'll start cold. That's one reason to capture details on the first call. See our plumbing call intake questions.
The callback script
Opening "Hi, is this [Name]? This is [Your Name] with [Shop Name]. You called us about [the issue] at [address or town]. Sorry we missed you. Is now a good time?"
Confirm the problem "Can you tell me a little more about what's happening? Is water still running or is it contained?"
Set the next step "Here's what I can do: [time window / next available visit]. Does that work?"
If you can't take the job "We're not able to get to that [today / this week]. I don't want to leave you waiting, so you may want to try another licensed plumber."
Close "Great. You'll get a confirmation from us at [method]. If anything changes before then, call us back at this number."
Keep safety simple and never guess: "If there's immediate danger, hang up and call 911."
If they don't answer: the voicemail version
"Hi [Name], this is [Your Name] with [Shop Name], returning your call about [issue]. Call or text us back at [number] and we'll get you scheduled. Thanks."
Then send a short text if the caller agreed to texts. Don't text people who didn't agree.
A callback routine that holds up on busy days
| When | What to do |
|---|---|
| Between jobs | Check missed calls and messages |
| Within the hour | Return urgent calls first (active leaks, no water) |
| End of day | Return the rest and note the outcome |
| Next morning | One more try for anyone you didn't reach |
Write the outcome next to each call: booked, quoted, not a fit, or no answer. After a month you'll know how many calls you're winning back.
Where AnswerBack™ fits
The hardest callback is the one where you know nothing about the caller. Forwarded calls are answered by AnswerBack's AI receptionist (AI, not a live person), which asks for the caller's name, service address and a brief description of the issue. You keep your number.
- You forward only the calls you can't take to AnswerBack's line. Codes are in our call forwarding codes guide.
- AnswerBack's AI receptionist asks for the details. It collects the caller's name, service address and the issue.
- AnswerBack sends you those details by text, so you call back with the script above already filled in.
AnswerBack doesn't diagnose, give repair instructions, promise appointments or say a plumber has been dispatched. A follow-up text goes out only if the caller agrees during the call. Callers can reply STOP to opt out or HELP for help. AnswerBack isn't an emergency service. In immediate, life-threatening danger, call 911. More detail is in what happens to a forwarded call.
Plans
Every plan starts with a free 14-day pilot: no card, and the pilot never rolls into a paid plan. After that, plans are a flat Solo $99, Pro $179 or Crew $299 a month, with a one-time $149 setup on monthly plans. Paid plans renew monthly until canceled. See pricing and the Cancellation & Refund Policy.
Start the free pilot or call our main line at +1 (724) 618-3866. If the main line doesn't connect, use (205) 851-5102. Calls may be recorded for security and quality.
FAQ
How fast should a plumber return a missed call?
As soon as you safely can. Urgent calls first, within the hour if possible, and everything else by the end of the day.
What should I say when I call back?
Use their name, repeat the issue and address, confirm what's happening and offer a clear next step.
What if I can't take the job?
Say so plainly and suggest they try another licensed plumber so they're not left waiting.
