AI Receptionist vs Answering Service for Plumbers: 9 Questions to Ask Before You Sign Up

· AnswerBack

If you're a plumber missing calls, you've probably seen the ads. "AI receptionist, answers on the first ring." "Live answering service, real people 24/7." "Set it up yourself in ten minutes." They can't all be the best fit for your shop.

This guide doesn't pick a winner for you. It explains what each option usually is, then gives you nine questions to ask any provider, including us, so you can compare them on what actually matters to a plumbing business.

The three options, in plain terms

  • Traditional live answering service. A call center answers with a script you provide and passes on a message. These services are often billed per minute or per call, and overage is common.
  • DIY AI answering app. Software answers your calls. The monthly fee is often low, but you build, test and tune the scripts and settings yourself.
  • Managed answering built for a trade. Someone sets up and tests forwarding with you, loads trade-specific intake (water heater vs. slab leak, your price ranges), and you get the caller's details by text. This is how AnswerBack works. Calls are answered by AI operated by AnswerBack, not by a live person.

None of these is automatically right. A shop with a full-time office manager has different needs from a one-truck owner under a sink all day.

9 questions to ask any provider

1. Do I keep my own number?

You've put your number on trucks, invoices and your Google Business Profile. The safest setups let you keep your number and forward only the calls you can't take. Be cautious with any service that asks you to port your number or put a new one on your listings. Our GBP phone number guide for plumbers explains why.

2. What exactly happens on a forwarded call?

Ask for a step-by-step walkthrough: who or what answers, what the caller hears, and what you receive afterward. A provider should tell you plainly whether callers talk to a person or an automated voice. At AnswerBack, calls are answered by AI operated by AnswerBack, not by a live person, and callers hear a recording notice at the start of each answered call. Here's what happens on a forwarded AnswerBack call.

3. Does it capture what a plumber needs?

A generic message ("John called, call back") isn't enough. You want the caller's name, service address and the problem, in a format you can act on from the truck.

4. Can it handle pricing questions without overpromising?

Callers ask "how much for a water heater?" A good setup can give typical ranges from your own price sheet while making clear the real price comes after you see the job. See giving price ranges on the phone.

5. How is it priced, and what's the meter?

Per-minute pricing can be cheap in a slow month and expensive in a busy one. Ask for the price at your call volume, the setup fee, and any overage. Our post on flat vs per-minute answering service pricing shows how to compare.

6. Who sets it up and tests it?

"Self-serve" can mean a weekend of fiddling. Ask whether the provider sets up and tests call forwarding with you before the trial starts. Forwarding codes by carrier are in our Verizon, AT&T and T-Mobile forwarding guide.

7. How are follow-up texts handled?

Texting a caller back is useful, but it should happen only with the caller's agreement, with clear STOP and HELP options. Ask to see the consent wording. Ours is in the SMS terms.

8. What about nights and weekends?

Ask plainly whether after-hours coverage is live today, extra, or "coming soon." At AnswerBack, after-hours overflow is on a waitlist and not live yet. We'd rather tell you that up front.

9. What happens when the trial ends?

Look for a trial that doesn't roll into a paid plan automatically, and read the cancellation policy before you start. Ours is the cancellation and refund policy.

Frequently asked questions

What is an AI receptionist for plumbers?

It's software that answers a plumbing business's calls, collects details like the caller's name, address and problem, and passes them on. Some are self-serve apps you set up yourself, and others are managed services. Ask any provider who sets it up, what callers hear, and how you receive the details.

Is an AI receptionist better than an answering service for a plumbing business?

Neither is better for every shop. Compare them on whether you keep your number, what details you receive, how pricing works at your call volume, who sets it up and tests it, and what happens when the trial ends.

How much does AnswerBack cost?

After the free 14-day pilot, plans are Solo $99/month, Pro $179/month and Crew $299/month, with a one-time $149 setup on monthly plans. Founding Annual is $790/year on Solo with setup waived for the first 25 shops. Prices were current on October 19, 2026; see the AnswerBack home page for current plans.

Is AnswerBack a live person?

Calls are answered by AI operated by AnswerBack, not by a live person. Callers hear a recording notice at the start of each answered call, and you get the caller's details by text.

Do I have to change my business number?

No. You keep your number and forward only the calls you can't take to AnswerBack's line.

Does AnswerBack answer after-hours calls?

After-hours overflow isn't live yet. It's on a waitlist, and waitlist shops get first setup when it opens.

Will the free pilot turn into a paid plan automatically?

No. The pilot is free, needs no card, and ends after 14 days unless you choose a paid plan at checkout.
